These Terms of Service ("Terms") govern your access to and use of the GreekManage platform, including our websites, mobile applications, APIs, and related services (collectively, the "Service"). By accessing or using the Service, you agree to be bound by these Terms.
1. Who We Are
GreekManage ("we", "us", or "our") operates a software-as-a-service platform for fraternities, sororities, and other Greek-letter organizations to manage membership, operations, compliance, finances, and community communications. The Service is provided to organizations and their individual members.

2. Accounts
2.1 Account Creation
To use the Service, you must create an account. You agree to provide accurate, current, and complete information during registration and to keep this information updated. You are responsible for safeguarding your password and for all activities under your account.
2.2 Eligibility
You must be at least 13 years old to create an account. If you are under 18, you represent that you have obtained appropriate parental or guardian consent. By creating an account, you represent that you are a member, prospective member, officer, advisor, alumnus, or authorized administrator of a Greek-letter organization that uses the Service.
2.3 Account Security
You are responsible for maintaining the confidentiality of your login credentials. Notify us immediately at security@greekmanage.com if you suspect unauthorized access. We are not liable for losses resulting from unauthorized use of your account.
3. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable law or regulation
- Harass, threaten, defame, or harm any other user
- Upload, post, or transmit content that is illegal, harmful, hateful, defamatory, or infringes intellectual property rights
- Attempt to gain unauthorized access to other users' accounts, our systems, or any related networks
- Transmit viruses, malware, or other malicious code
- Scrape, spider, or otherwise collect information about other users without their consent
- Use the Service to send unsolicited bulk email (spam)
- Interfere with or disrupt the integrity or performance of the Service
- Reverse engineer, decompile, or attempt to extract source code from the Service
4. Email and Notifications
4.1 Transactional Email
As part of providing the Service, we send transactional emails necessary for account security and platform function, including account verification, password resets, security alerts, and critical administrative notifications. These emails cannot be disabled while your account is active, as they are essential to the Service.
4.2 Organizational Communications
Your organization and its chapters may send you communications through the Service, including announcements, compliance reminders, event invitations, bulletins, and digest summaries. These communications relate to your membership in the organization.
4.3 Opt-Out
You can adjust your notification preferences in your account settings to control which non-transactional emails you receive and at what frequency. Every non-transactional email includes a one-click unsubscribe link. Unsubscribing takes effect immediately.
4.4 Anti-Spam Commitment
We do not send unsolicited marketing email. We do not sell, rent, or share contact information with third parties for marketing purposes. All email is sent only to users who have an established relationship with our platform or with an organization using our platform.
5. Content and Data
5.1 Your Content
You retain ownership of any content you submit, post, or display through the Service ("Your Content"). You grant us a limited, non-exclusive, worldwide, royalty-free license to host, store, reproduce, modify, and transmit Your Content solely as necessary to provide the Service.
5.2 Organization Data
Data associated with an organization (membership records, compliance submissions, event history, etc.) is owned by the organization. If you are an individual member, your organization's administrator has access to your member data as described in our Privacy Policy.
5.3 Our Content
The Service, including its software, design, text, graphics, and branding, is owned by GreekManage and protected by intellectual property laws. You may not copy, modify, distribute, or create derivative works without our express written permission.
6. Payments and Subscriptions
Certain features of the Service require a paid subscription, billed to the organization rather than individual members. Subscription terms, pricing, and renewal conditions are specified in the applicable order form or subscription agreement between GreekManage and the organization. Payment processing is handled by third-party payment processors (including Stripe); we do not store full payment card details.
7. Third-Party Services
The Service integrates with third-party services (cloud infrastructure, email delivery, payment processing, AI providers, and others) that have their own terms. Your use of the Service constitutes acceptance of the applicable third-party terms for those integrations.
8. Termination
8.1 Termination by You
You may close your account at any time through your account settings. Deletion requests are processed according to our Privacy Policy, with a 30-day grace period during which the account can be restored.
8.2 Termination by Us
We may suspend or terminate your account at any time, without notice, if we reasonably believe you have violated these Terms, engaged in fraudulent or harmful activity, or if required by law. We may also terminate the Service in whole or in part at any time with reasonable notice.
8.3 Effect of Termination
Upon termination, your right to access and use the Service ends immediately. Provisions that by their nature should survive termination (including intellectual property, disclaimers, limitations of liability, and dispute resolution) will continue to apply.
9. Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, OR COURSE OF PERFORMANCE. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR SECURE, OR THAT DEFECTS WILL BE CORRECTED.
10. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, IN NO EVENT SHALL GREEKMANAGE, ITS AFFILIATES, DIRECTORS, EMPLOYEES, OR AGENTS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, DATA, OR GOODWILL, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF THE SERVICE, WHETHER BASED ON CONTRACT, TORT, NEGLIGENCE, OR ANY OTHER LEGAL THEORY, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
OUR TOTAL LIABILITY TO YOU FOR ALL CLAIMS ARISING OUT OF OR RELATING TO THE SERVICE SHALL NOT EXCEED THE GREATER OF ONE HUNDRED UNITED STATES DOLLARS (USD $100) OR THE AMOUNT YOU OR YOUR ORGANIZATION PAID TO US IN THE TWELVE MONTHS PRECEDING THE CLAIM.
11. Indemnification
You agree to indemnify, defend, and hold harmless GreekManage and its affiliates, officers, employees, and agents from any claims, damages, losses, or expenses (including reasonable attorneys' fees) arising from (a) your use of the Service, (b) your violation of these Terms, or (c) your violation of any rights of a third party.
12. Governing Law and Disputes
These Terms are governed by the laws of the Commonwealth of Virginia, United States, without regard to conflict of law principles. Any dispute arising out of or relating to these Terms shall be resolved exclusively in the state or federal courts located in Loudoun County, Virginia, and you consent to the personal jurisdiction of those courts.
13. Changes to These Terms
We may update these Terms from time to time. When we make material changes, we will notify you by email or through the Service at least thirty (30) days before the changes take effect. Your continued use of the Service after the effective date constitutes acceptance of the updated Terms.
